Welcome to the Viva Life Community!

To give our clients the best experience here is just some general housekeeping to become familiar with.

1. Our Intro Offer of 5 classes (valid for 14 days) is only available to brand new clients. You can only purchase the introductory offer once. The introductory offer is non-refundable nor transferable and will activate from the date of your first class booking.

2. The client is responsible for any rescheduling or cancellations. This must be done via the app or the website. We do not accept cancellations via social media, phone or email, please note No show and late cancellation penalties apply.

3. Waitlists: Our waitlists move quickly and you are likely to get into your preferred class. If someone cancels outside the 6hr cancellation window, you will be notified via text/email that you have been accepted off the waitlist, here you can choose Y or N to reply back if you wish to attend. If you cannot make it, your place will be offered to the next client on the waitlist. Please make sure you have notifications turned ON in your app to receive these texts/emails.

4. Cancellations made less than 6 hours prior to class start time will forfeit that session.  No-shows and Late cancels will also forfeit that session.

5. UNLIMITED MEMBERS - Can attend 7 days a week however they will incur a $15 No Show fee for all classes they are absent for without late cancelling the class or if they late cancel within 1 hour of class starting.

3 CLASS PASS MEMBERS - 3 sessions can be booked per week. Your week will activate from your payment date and will expire 7 days after. Unused sessions will not rollover into the following week. Extra sessions will be charged at $15  E.g, If your weekly payment is debited on a Wednesday, you will have 3 sessions to use until the following Tuesday. Any late cancellations will forfeit a session and any no shows will be charged a no-show fee.

PACKS - If you cancel after the 6 hour deadline, you will forfeit your class.

No shows: No shows are treated as a late cancel. Class pack holders will forfeit the class and membership holders will incur a $15 fee.

6. Payment must be made prior to booking. To book into a class you must either have pre-purchased sessions in your account or pay at the time of booking in the studio.

7. Out of consideration for the teacher and other clients, please don't be late. For duty of care reasons we ask that you arrive on time to be apart of the class warm up.

8. Suspensions and Terminations require 7 days notice in writing emailed to hello@vivalifepilates.com.au and Please cancel out of any pre booked classes at this time.

9.Owners and/or teachers reserve the right to restrict clients to a class particular type for safety reasons; and owners and/or teachers reserve the right to turn clients away if they do not have the correct medical clearance.

10. ‘No Springs Attached’ Packs are valid for 6 months from the purchase date. Sessions are non-refundable, are not transferable and can be extended if you are injured, in which case we will request it in writing emailed to hello@vivalifepilates.com.au

11. ‘Go with the Flow’ Monthly packs are valid for 30 days from the purchase date. Sessions are non-refundable, are not transferable and can be extended if you are injured, in which case we will request a medical certificate. Extensions due to medical reasons must be requested before the expiry date.

12. A minimum of three people is required for a class to proceed. You will be contacted via text or phone prior to the start of class should it need to be cancelled and your session will be returned.

13. In the case of snap lockdown/forced Government closures. Anything less than 7 days will continue memberships as is, anything past 7 days we will offer to suspend or extend packs where necessary. All memberships will automatically revert to our online ‘Viva Life to You’ platform charged at $20p/week, unless we receive in writing to suspend or cancel.

Cancellation Policy Continued…

CLASS PACKS & 3 CLASS PASS MEMBERS

Cancellations made more than 6 hours before class will get the session back.

Late Cancellations made less than 6 hours before class will forfeit the session.

No-Shows will forfeit the session and incur a $15 no show fee

UNLIMITED MEMBERS

Unlimited Members will automatically be charged a $15 No Show fee for all classes they are marked absent for. A Late Cancel 1 hour before class is considered a No Show and will be charged as such. Fees will be charged automatically using the card on file.

Membership Terms & Conditions

Includes : 3 Class Pass & Unlimited memberships will stay in effect until we receive in writing to suspend or cancel.

1. All Memberships operate on either a 7day autopay schedule from the credit card stored in Mindbody (a secure system). Payment will continue unless notified (see Termination Policy below).

2. Memberships will continue with scheduled autopays unless Viva Life Pilates is notified of a termination request in writing (see Termination Policy below).

3. A $15 No Show fee will be charged to all Unlimited Members who are absent or late cancel a class within 1 hour of the start time. This will be processed automatically via the stored credit card details within 48 hours after class.

4. 3 Class Pass Members can purchase additional sessions at $15 per class. This is the responsibility of the member to arrange prior to taking class via purchasing individual sessions through Mindbody. Additional sessions will be valid for 7 days from purchase. If during the weekly cycle, an extra session is taken and shows as owing, $15 will automatically be charged to the card on file per session booked, regardless of late cancel or no show.

Membership Suspensions

1. At least 7 days written notice is required for membership pauses suspensions. This ensures that the correct measures are put in place to cease credit card payments that are scheduled for the given period.

2. Memberships can be suspended for a minimum of 2 weeks at any time and a maximum period of 6 weeks in any 12-month period.

Membership Termination

1. Viva Life Pilates requires at least 7 days’ written notice to terminate membership. Please email the request to hello@vivalifepilates.com.au

2. In the case of long-term or permanent injury or illness that prevents using our services, immediate membership termination will be permitted. Termination will take effect from the date we receive a written confirmation.

Challenge Terms & Conditions

1. Viva Life Pilates standard cancellation policy applies to all bookings.

2. In the instance of a missed (no show or late cancelled) class, clients can purchase a make-up class at the discounted rate of $15. Email hello@vivalifepilates.com.au to purchase.

3. Strictly no extensions given.

4. Classes are non-transferable and will be void as end of challenge.

5. Doctors certificate must be supplied should a client fall seriously ill during this time.

6. Any active monthly passes or class packs will be put on hold for the duration of the challenge and re-activated once complete.

These terms and conditions are in place to give our clients the best experience and ensure everyone can get their Pilates on.
